Creating and Using Project Templates

When you do a project repeatedly, but not on a set schedule, a template for that project can save you time and effort. Here’s how to work with project templates in OmniFocus.

Summary

Project templates are useful for projects that you do repeatedly, but not on a set schedule. (If you do a project on a set schedule, use a repeating project instead.) We’ll use a separate folder called Templates to house all of our template projects.

To create a template, simply create a new project, move it to the Templates folder, fill out the steps (tasks) of the project, and put the project on hold. Then, to use the template, duplicate it and move it to the appropriate high-level folder (area).

When you’re using a template and you think of an improvement, remember to improve the working copy as well as the master copy of the template.

To do

  1. Create a Templates top-level folder.
  2. Set up templates for work you do repeatedly, but not on a set schedule.
  3. Set the review frequency for each template project to 12 weeks.
  4. Adjust the On Hold perspective to exclude the Templates folder.
